Onboarding
This is the full first-run flow — every screen between "I want to try Tommy" and "I have a team running". If you'd rather a five-minute version, see the Quickstart.
1. Sign up
Go to app.mytommy.com and choose Sign up.
You can sign up with either an email address or a mobile number. Tommy sends a six-digit code to verify it's really you. Enter the code to continue.
Then add your name and a password. Tommy now has a personal account for you. (You can belong to as many teams as you like under one account.)
Screenshot needed: Sign-up screen with verification code field.
2. Tell Tommy about your business
Tommy asks three short questions:
- What industry are you in? Used to pick a Solution preset
- Have you used a workforce management system before? Adjusts how much hand-holding you get
- How many in your team? Helps Tommy size the recommendations
Pick the closest match for each. Nothing here is locked in — you can change everything later.
If your industry isn't an exact fit, choose General. You can swap to a more specific Solution later from team settings.
3. Name your workspace and first location
The next screen, What would you like to name your workspace?, asks for three things together:
- Workspace name — your team name; what members see when they sign in (e.g. "Bluestone Café", "Riverside Disability Support")
- Location name — your first physical workplace (e.g. "Main Store", "Head Office", "Bondi")
- Location address — used for geofencing if you turn that on later
Tap Create workspace to finish. You're now the owner of a team with one location ready to roster against.
Screenshot needed: "What would you like to name your workspace?" form with workspace name, location name, and location address fields.
4. The Get Started checklist
Tommy lands you on a Get Started checklist tuned to the Solution you picked. It groups suggested setup tasks into essentials and extras:
Essentials (every team)
- Invite your first team member
- Create a shift
- Install the mobile app
Extras (Solution-specific) — for example:
- NDIS & Care Services: Add a participant, set up compliance documents, connect Xero
- Hospitality: Add your locations, build shift templates for breakfast/lunch/dinner, connect your POS
- Retail: Add your stores, set up role-based shift coverage
- Construction & Trades: Add a site, set up mileage tracking
- Staffing Agency: Add a client, build casual shift templates
Work through the list in any order. Each item links to the screen where you complete it.

5. Invite your first team member
The fastest path to seeing Tommy work end-to-end is inviting one person.
Open Team Members and tap Add individual. Fill in:
- First name, last name
- Email or mobile number
- One Role from the dropdown (e.g., "Support Worker", "Barista")
Leave Send invite immediately ticked and tap Invite. Tommy sends them a sign-up link.
For full details — bulk upload, role assignment, locations, documents — see Team Members.
6. Publish a first shift
Open Scheduling. Tap New shift:
- Pick the member you just invited (or leave it open)
- Pick a Shift Template to set the times — or set them manually
- Pick a location if you have more than one
Tap Save shift, then Publish. The shift is now on the member's phone (once they've signed in).
For full details — templates, swaps, open shifts, broadcasts — see Scheduling.
7. Install the mobile app
Tommy works in the browser, but the mobile app is where members spend their time. Search Tommy in the App Store or Google Play, sign in with the same account, and you're set.
You can also send members a download link from Get Started → Install the mobile app.
8. (Optional) Connect your accounting software
If you'll run payroll through Tommy, connect your accounting tool now. From Settings → Integrations, choose Xero, QuickBooks, or MYOB and follow the prompts.
Approved timesheets will flow automatically once you've connected.
See Integrations.
